Why Can't I Enter a Grade in Aeries?

Sometimes you have a student who has "Not Applicable" for grades, and you can't enter a score for them. Or sometimes a student you can find in "Manage Students" doesn't appear in "Scores By Class". Why is that?

Aeries uses the "Start Date" and "End Date" listed in "Manage Students" to determine which assignments students are responsible for submitting. For most students, those dates will be the beginning and end of the school year (for trimesters) or the beginning and end of the term (for semesters). But students who join your class late, or leave your class early, will have different start or end dates.

In the picture here, one students entered the class on November 1. Aeries assumes that student will not be submitting any assignments with due dates before November 1. It fills in those boxes with "Not Applicable" and counts the assignments as 0 points possible, so it does not hurt the student's grade. Similarly, for the student whose end date is December 1, Aeries assumes that he or she will not be responsible for any work due after December 1, and won't let you enter a score.

If those dates are incorrect, for any reason, you can change them just by clicking on the date and selecting a new start or end date. (By the way, if there are no assignments with due dates between the student's start and end date, that student will not show up at all on your "Scores By Class" screen. This can be confusing!)

But what if the dates are correct, and you still want to give scores for work before the students' start date, or after the end date? For example, if the student joins the class in the third week of school, you may give them some make up work that they have to complete. You can give scores for that work by using the "Override Not Applicable / Transfer Grades" checkbox on the "Scores By Class" screen. Once you check that box, you'll be able to enter scores into the "Not Applicable" boxes. You can enter as many or as few as you like; you don't have to give scores for all the assignments the student missed.

(The "Override" check box does not appear for gradebooks that do not have any Not Applicable grades. If you look on your "Scores By Class" screen and don't see it, that's why. It only appears when you need it, like Batman.)
